ONC BOCES Board of Education Use of Video Conferencing Guidelines

1) Board members must be physically present at any meeting “unless such member is unable to be physically present at any such meeting location due to extraordinary circumstances . . . including disability, illness, caregiving responsibilities, or any other significant or unexpected factor or event which precludes the member’s physical attendance at such meeting”

2) A quorum of the board must be present in person in order to conduct business.

3) Board members requesting the use of video conferencing must submit that request to the Board Clerk and Board President 48 business hours prior to the meeting if practicable. The Board President will determine whether the request meets eligibility requirements.

4) When video conferencing is used a link will be available for the public to view and participate in the meeting virtually in real time. This link will be posted on the ONC BOCES website.

5) Meetings utilizing video conferencing will be recorded. Recordings will be posted on the ONC BOCES website. Recordings will be transcribed upon request.

6) The use of video conferencing and related guidelines will be re-evaluated annually at the Board Reorganization Meeting.
